What Syncs with QuickBooks

The full scope of the QBO integration: AP bills both directions, AR invoices and payments, monthly COGS, and daily monitors.

Accounts payable

Vendor invoices push to QBO as Bills (Push to QuickBooks on the Vendor Invoices page). Payments flow both directions: record one in Ventorie and it posts to QBO; pay a bill inside QBO (including Bill Pay) and it flows back automatically via Intuit webhooks plus a 6-hourly reconcile sweep — idempotent, with voids and deletions reversed correctly. Synced records carry a QBO chip. Vendor credits are tracked with suggestions for applying them.

Accounts receivable

AR invoices and their payments push per-invoice with multi-currency support (CurrencyRef and exchange rate set from the order's FX stamp) and per-currency deposit accounts. Accepted short-payment explanations from the Inbox write off the remainder and post a QBO credit memo automatically on approval.

COGS

Cost of goods sold posts as journal entries — debit COGS, credit Inventory Asset — either one summary entry per month (recommended; see "Monthly COGS Journal Entries") or per order as it ships if you enable Auto-sync on fulfillment. The two never double-post.

Sales receipts from email

Payment-processor payouts and remittances recognized by the AI Inbox (type: Sales receipt) create a QBO SalesReceipt when you approve the proposal.

Daily monitors

Two background checks watch for money falling through the cracks: • QBO deposit missing — payments sitting in Undeposited Funds past your grace window with no matching bank deposit. • QBO bank match missing — money booked to a deposit account that the bank feed hasn't confirmed. Both notify daily until resolved — see "Deposit & Bank-Match Monitoring".
