Connecting QuickBooks Online

Connect QBO via OAuth, then map the accounts Ventorie uses for COGS journal entries and AR invoices.

What you'll need

Admin access to your QuickBooks Online company. The whole flow is OAuth — no keys to copy.

Connecting

1. Go to Integrations → Add integration → QuickBooks Online. 2. Click Connect QuickBooks Online — you're redirected to Intuit to authorize. 3. Back in Ventorie, the QuickBooks card shows Connected with your company name.

COGS Sync accounts

On the QuickBooks card, the COGS Sync section has three account pickers: • COGS Account — the expense line debited (e.g. "Cost of Goods Sold"). • Inventory Asset Account — the balance-sheet account credited as inventory leaves stock; use the same account your inventory purchases post to. • Packaging Materials Account (optional) — the Inventory Asset sub-account your packaging purchases post to (e.g. "Inventory Asset : Packaging Materials"). Set it if your products have packaging components in their BOM. Recommended: post one summary journal entry per month from Financials → Accounting (the A2X model — one clean COGS line per month). If you prefer an entry per order as it ships, tick Auto-sync on fulfillment; monthly summaries skip per-order-synced orders, so the two never double-post.

Packaging value in COGS

When a purchase order with packaging components in the BOM is received, Ventorie consumes the packaging and folds its cost into the finished goods' unit cost — so COGS automatically includes packaging when those units sell. In QuickBooks, that value starts out in your Packaging Materials sub-account (where the packaging bills posted). The Packaging → Inventory Asset card on Financials → Accounting posts one journal entry per month (PKG-YYYY-MM) that moves the consumed value into Inventory Asset, keeping both accounts accurate. The card only appears once receipts have consumed packaging, and repeat posts only cover new receipts — never duplicates.

AR Sync accounts

The AR Sync section maps where pushed AR invoices and payments land: • Income Account — the revenue line each invoice credits (pick something like "Sales — Wholesale" to keep wholesale visible on your P&L). • Deposit Account — where recorded payments post. Choose Undeposited Funds if you batch deposits, or your checking account for one-to-one ACH/wire payments. If you invoice in multiple currencies, you'll see one deposit account per currency — QBO bank accounts are currency-denominated, and only matching accounts are offered.

What syncs after setup

Vendor invoices push to QBO as Bills; bill payments flow both directions (payments made inside QBO come back automatically via webhooks plus a 6-hourly reconcile sweep). AR invoices and payments push with the Push to QBO buttons. Monthly COGS and the packaging re-bucket entry post from Financials → Accounting.
