Connecting Gmail, Outlook & the Forward Address
Hook one or more Gmail or Outlook mailboxes into the Inbox, choose the watch label or category, and use the forward address for everything else.
What you'll need
A Google or Microsoft account for each mailbox you want to connect. Both personal Gmail/Outlook.com accounts and Google Workspace / Microsoft 365 business accounts work. Shared mailboxes (ap@, orders@) work too — connect them with their own credentials.
Connecting a mailbox
1. Open Inbox and click Connect Gmail or Connect Outlook.
2. Authorize with Google or Microsoft; you land back on the Inbox with the mailbox added to the Connected mailboxes strip.
3. Mark any email you want ingested — in Gmail, apply the watch label; in Outlook, apply the watch category (both default to "Ventorie"). It appears in the Inbox within about a minute.
Tip: set a Gmail filter (or an Outlook rule) that auto-tags your vendor senders so their emails flow in hands-free.
One difference to know: a Gmail label sticks to the whole conversation, so every later reply flows in automatically. An Outlook category applies to single messages — Ventorie compensates by continuing to watch any conversation it has already ingested from, so replies on active threads still arrive on their own.
Changing the watch label or category
Click the label/category name on a mailbox chip to change what's watched in that mailbox. The chip's tooltip shows when the mailbox was last checked. If a mailbox's authorization stops working, the chip turns amber with a Reconnect link.
Auto-archiving after import (optional)
Each connected mailbox has an "Auto-archive: on/off" toggle in Settings → Email. It's off by default. When you turn it on, Ventorie takes each email out of that mailbox's inbox the moment it's safely imported — in Gmail it removes the Inbox label, in Outlook it moves the message to the Archive folder.
The email is never deleted: it stays in Ventorie's Inbox and is still fully searchable in your mailbox (in Gmail under All Mail, in Outlook under Archive). Only the copy that was actually imported is archived, and the watch label/category is left in place, so vendor replies on the same conversation keep flowing in. Set it per mailbox — archive a shared ap@ inbox but leave your personal mailbox untouched, for example.
The forward address
Below the mailbox strip you'll find your business's unique address (e.g. yourbrand-1234@in.ventorie.com) with a copy button. Use it to:
• Forward any email from any mailbox — no Gmail connection needed.
• Have vendors CC it directly on shipping notices and invoices.
Forwarded emails show the original sender with a small "fwd" tag, so classification and vendor matching use the real sender, not you.
Sending as your own mailbox
A connected mailbox (Gmail or Outlook) is also the identity Ventorie sends from: PO emails to vendors, freight pickup requests, warehouse notices, and payment follow-ups all go out from your own address, threaded into real conversations, with replies routed back to the Inbox. If the mailbox can't send, the message queues and retries automatically — you'll get a notification, and it never silently sends from a different address.
Disconnecting
Click the × on a mailbox chip. Emails already ingested stay in the Inbox; the mailbox just stops being polled.
