Booking Freight (Pickup Requests & BOL)

The Book freight workflow creates the receiving order, emails your carrier/ShipBob AM a templated pickup request with box labels attached, and chases the BOL — nudging until answered.

What you'll need

A PO shipment (no receiving order yet — the workflow creates it) and a connected mailbox (the request threads onto the vendor's original email with your remembered freight contacts added).

Running Book freight

1. On the shipment, click Book freight. 2. Approve the receiving order in the dialog (see "Creating a Receiving Order") — the workflow creates it and files the box labels on every member PO. 3. Review the pickup-request email in the confirm dialog — recipients (vendor thread plus the freight contacts remembered from earlier sends), template, and variables — then approve to send it with the box labels attached. 4. The workflow waits for the reply, nudging until it comes. The shipment shows the run's progress in place of the button (e.g. "waiting for the BOL"), and the bell keeps each approval one click away.

Templates and variables

The email body renders the saved freight template (per-vendor override → business default → built-in) with {{variable_name}} merge fields: computed shipment facts (pickup date, pallet dimensions across ALL combined POs, WRO id, consignee hub) plus your own global or per-vendor variables — editable right in the confirm dialog, where edits can be saved back as the vendor's template. The flow itself is composed from primitive operations, so you can rewire any step under Workflows.

The reply comes back to you

The carrier's reply lands in your Ventorie Inbox classified as a Freight quote, with an approval proposal (quotes over the threshold pause for your approval inside the workflow too). Approving replies in-thread to book the pickup and records an estimated freight landed cost on the PO. When the BOL arrives, the workflow saves it to the shipment and marks the shipment in transit.

If nobody answers

The workflow nudges after 2 quiet days and escalates after 5 — track waiting runs under Awaiting replies on the Inbox (see "Follow-ups").
