Creating a Receiving Order (WRO)
Turn a PO shipment into a fully planned receiving order in your 3PL — box plan, lots, receiving FC, even multiple POs in one truck — via the Book freight and Send parcel labels workflows.
What you'll need
A receiving-capable 3PL connection (ShipBob, ShipHero, or ShipMonk) and a PO shipment (ideally with a packing manifest — pallets shape the box plan and lots flow into the receiving order).
Starting the workflow
On the shipment, click Book freight (pallet shipments) or Send parcel labels (parcel shipments). Both are workflows — they come pre-installed, and you can rewire any step under Workflows. Each pauses for your approval and opens the receiving-order dialog, showing exactly what will be posted to your 3PL before anything is created.
The approval dialog, top to bottom
1. Receiving-order name — prefilled from a template (PO short-name based); it can't be changed after creation, and a reset link restores the suggestion.
2. Receiving fulfillment center — defaults to the physical FC behind your inbound hub (receiving hubs reject API-created WROs, so Ventorie routes to the hub's physical FC from your Locations tree).
3. Expected arrival and Package type — Pallet, Package, or Floor-loaded container.
4. The write plan — "What will be sent to {FC}": each box (one per declared pallet, or a single box) with its SKUs × quantities, lot info for lot-tracked SKUs, and a per-box tracking field (blank sends "TBD").
Combining POs into one WRO
If other shipments from the same vendor to the same hub are in the same physical delivery, the Book freight workflow finds them and they appear under "Combine with other POs in this delivery" with checkboxes. Tick them and the box plan recomputes live. When your 3PL receives the goods, units are allocated back to the member POs oldest-first.
After creation
The shipment shows a WRO chip ("WRO 12345 · Processing"), the box labels are filed on every member PO, and the workflow continues (freight: emailing the carrier a pickup request; parcels: emailing the vendor the labels). Ventorie polls your 3PL hourly:
• When the receiving order completes, a receipt is auto-created on the PO — including partial and zero-received cases — and you're reminded to add freight/landed costs.
• Real lot numbers and expirations from receiving enrich your lots.
• Stalled distributions, shortfalls (fewer units than expected), and lot mismatches each trigger their own notification.
