Deposit & Bank-Match Monitoring

Two daily checks that catch payments stuck in Undeposited Funds or missing from the bank feed.

What these catch

The two classic ways recorded revenue quietly diverges from the bank: 1. Payments recorded to Undeposited Funds that never get grouped into a bank deposit — your books show cash the bank can't see. 2. Payments recorded straight to a checking account that the bank feed never confirms — a typo'd amount or a payment that never actually landed.

How the monitoring works

Once a day, Ventorie checks QuickBooks: • Undeposited Funds — any payment or sales receipt older than the grace window without a matching deposit triggers the "QBO deposit missing" notification. • Bank match — money booked to your deposit accounts is checked against QBO's cleared/matched status; unmatched rows past the grace window trigger "QBO bank match missing". Both repeat daily until the deposit is recorded or matched — silence means everything reconciles.

Configuring

Settings → Automation → Timing & calendar: "Alert on undeposited QBO payments after" sets the grace window in business days (0 disables). The business-day calendar (weekends, public holidays, your company holidays) applies, so a Friday payment doesn't alert over the weekend. Subscribe or unsubscribe to each notification type under Settings → Notifications.
